Summary
Medical Secretary Apprentice post
• The successful candidate will responsible for admin support to the clinical teams and wards.
• Screening incoming telephone calls; recording and transmitting messages.
• Transcribing digital dictation (50+ wpm), typing a variety of general and clinical documents.
• Responsible for dealing with all incoming and outgoing mail.
• Responsible for liaising\communicating with patients, legal professionals, other clinicians, external agencies, ward staff and members of the multidisciplinary team as appropriate.
• Maintaining confidentiality at all times in line with record keeping policies.
• Responsible for maintaining and updating general filing systems ensuring that filing is done on a regular basis and is given a high priority.
• To maintain the electronic filing system in a standardised format ensuring clinical documentation is appropriately stored.
• Responsible for inputting and retrieving information from the designated computerised system i.e.; RIO or any other system that may be introduced by the Trust or partner agencies.
• To update patient information on RiO (EPR) ensuring data quality is monitored and any concerns raised.
• Recording referrals on RiO (EPR) and arranging assessments.
• To liaise with the team/ward with regard to CQC targets and entering data and uploading documents on RiO.
• Responsible for diary management ensuring that information is incorporated into the MS Outlook calendar.
• Responsible for arranging meetings, organising catering, preparation and circulation of paperwork.
• To attend and take minutes at clinical and non-clinical meetings, i.e. Community meetings, CPAs, CIGs, team meetings.
• Responsible for creating presentations in Microsoft PowerPoint and updating data on Excel.
• Responsible for taking on secretarial\administrative projects.
• To report to the Admin Team, Lead any issues that are of concern relating to health and safety of the building.
• To ensure that Junior doctors are familiar with administrative procedures to facilitate the smooth running of the service through rotational changes
• To work as part of the overall secretarial support for the Forensic Service and undertake any other secretarial\administrative duties as required.
